The company has an open application process for musicians, as well as a partner program for third-party companies to bring in new artists. To improve its onboarding process for musicians and partners, Floor 13 sought to implement an automated email system that would streamline communication and increase user engagement.

Floor 13 initially relied on an online form for musicians and partners to apply for their services. However, this method was not working effectively due to some technical issues, the lack of follow-up and communication with applicants. The company needed a more efficient way to engage and onboard musicians and partners.

Requirements

To address these issues, Floor 13 required an automated email system capable of sending out emails to both musicians and partners as soon as they apply through the online form. This would allow for better engagement and quicker follow-up, ultimately improving the overall onboarding process.

Solution

To meet Floor 13’s requirements, we developed a solution using Mailchimp, a popular email marketing platform.

We created two separate forms using Mailchimp, one for musicians and another for partners, to streamline the application process.

We then set up email automation within Mailchimp to trigger a series of automated emails when someone applies through either of the forms. The first email includes a “book an appointment” option to facilitate a more direct connection between the applicant and the Floor 13 team.

If the applicant does not respond to the first email, the system sends a second and third reminder email to encourage further engagement.

Results

By implementing the Mailchimp forms and automated email system, Floor 13 successfully streamlined its onboarding process for musicians and partners. Automated emails have allowed for more timely and efficient communication with applicants, leading to higher engagement and better conversion rates.
